Volunteers Required!

As the 21/22 season draws to a close, we are already making plans for next year.  As such, we have a number of volunteer positions to be filled to contribute to the running of the club.  If you would like to volunteer for any of these roles or to help with anything else at the club, please contact matt_griggs@hotmail.com.

Roles to be filled include:

Youth Chairman

Purpose - Lead effective and efficient delivery of mini and junior rugby at the club.

Key Aspects of the Role

1. Lead the development of mini and junior rugby

Lead a team of people to deliver rugby for 6-17 year olds; arrange and chair Mini and Junior Committee meetings, and ensure that Mini and Junior members are represented within the Main Committee.

2. Organise suitable playing and training opportunities

Work alongside other club officers to coordinate the running and playing of Mini and junior rugby training, games and tournaments in line with AgeGrade Regulations.

3. Ensure all members are familiar with the core values of the game

Make sure players, coaches, volunteers and parents are familiar with the core values of the game.

 

Note: This role does not necessarily need to be filled by an age group coach.

Discipline Secretary/Referee Liaison

Purpose - To ensure the club maintains high standards of discipline at all times, both on and off the field and preserve a fine reputation for compliance with the Core Values of the Game.

Key Aspects of the Role

1. Lead on any disciplinary incidents

Deal with any on or off field disciplinary incidents by a member of the club, arranging and attendance at internal disciplinary hearings and taking responsibility for all investigations, working with the CB and/or RFU.

2. Implement education about the Club Rules

Working closely with the Club Safeguarding Officer to educate members about preventing potential safeguarding incidents and investigating any complaints that have been made. Work with the Mini/Junior Chair to implement Values of the Game education to new players and parents. Ensure that club management and members are kept informed of any changes to disciplinary regulations or procedures.

3. Report to the Club Committee, the CB Disciplinary Secretary and the RFU Discipline Department

Share relevant information and co-operate with the Club Committee, CB Discipline Secretary, CB Safeguarding Manger, RFU Discipline and RFU Safeguarding when required.

4. Primary Point of Contact with the EMRURS

Liaise with the Referees Society to confirm the club’s referee requirements etc, and disseminate any communications from the society to the wider club.

Mini Section Fixture Secretary

Purpose - To take responsibility for organising matches for all the mini section teams at the club. 

Key aspects of the role

1. Coordination of fixtures

Propose a fixture list for all teams, reflecting the ambitions of the club, confirming the list in writing by June of each season. Coordination of a group of volunteers to manage fixtures, if applicable.

2. Ensure information is distributed to relevant parties

Confirming the fixtures with opponents at least two weeks before the game and that they are provided with kick-off times, directions to the ground etc, and player numbers for catering requirements.

3. Dealing with any unexpected problems that arise

Deal with match cancellations and finding new fixtures; handle any fixture queries throughout the season.

Note: All of the mini fixtures for next season are in place, so for the first year, the role would mainly be confirming the fixtures and player numbers etc each week, and being the focal point for communication with other clubs and our own age groups regarding changes etc.

Sponsorship and Marketing Lead

Purpose - To manage advertising and sponsorship activity for the club, encouraging companies to support rugby in exchange for promoting their business.

Key aspects of the role

1. Manage marketing and sponsorship developments

Manage existing sponsor and advertiser relations. Work closely with the fundraising team to maximize opportunities.  Ensure the matchday programme is ready to go to print.

2. Build new business opportunities

Source and approach new potential sponsors; build business cases for possible partners illustrating the potential returns on investment.

3. Coordinate the annual sponsor’s lunch and other sponsor benefits

Ensure all of our sponsorship partners are invited to the annual sponsors lunch and liaise with the club caterers etc regarding the lunch.  Ensure sponsors receive all of the benefits associated with their sponsorship package.

House Lead

Purpose – To ensure that the clubhouse facilities are a safe, welcoming and hospitable place for members and opposition clubs to visit.

Key Aspects of the Role

1. Manage the maintenance of the clubhouse and changing rooms

Take the lead on organising any repairs and liaise with the racecourse as required for issues concerning building maintenance etc, and organising club member working parties etc as required.

2. Liaise with Club Bar Manager (Will Bradley)

Ensure that there is volunteer cover to assist behind the bar for events, and sufficient stock is available.

Mini Section Kitchen Coordinator 

Purpose – To manage all the catering requirements for the mini section on Sunday Mornings.

Key Aspects of the Role

1. Establish Kitchen Duties Rota

To manage the Duty Team Rota and ensure that kitchen is staffed adequately with volunteers from the age groups.          

2. Manage Stock Levels

Liaise with Duty Team volunteers to ensure that stock levels are maintained and liaise with the pool of ‘Cash & Carry’ volunteers for replenishment.      

3. Oversee Food Safety and Cleanliness Standards

Establish food safety systems and cleaning checklists for Duty Team volunteers and liaise with the contract cleaners to ensure that hygiene standards are maintained.  Liaise with House Lead regarding any maintenance requirements etc.

Volunteer Pools

We also need to add to our various volunteer pools.  These work on a ‘many hands make light work’ basis.  Full training given!

Bar Staff – We always need more volunteers to work behind the bar, the more the merrier!  Ideally, if we had a couple from each age group who had been shown how to change a barrel, turn the gas off etc, then the bar could be open every Sunday.

Pitch Markers – The pitches need marking at least every two weeks.  It’s a great excuse to spend a couple of hours in the fresh air and increase your daily step count!  If we can increase the pool of volunteers, then you’ll only be called upon every couple of months.

 

Remember, the club belongs to the members, and is only as good as its members, so if you spot something that needs doing that’s not already listed above, please let the committee know, or even better, volunteer to do it!
